Patron Services Manager

Position Overview: The Patron Services Manager will oversee the Box Office and Front of House daily operations. This role is highly visible and provides exemplary customer service to all guests, vendors, and clients while setting the tone for all Patron Services staff.

Key Responsibilities:

  • Consistently embody the mission and values of TheatreWorks in a professional, thoughtful, and patron-oriented manner.
    Manage patron-related operations which include ticketing and event communications via phone, email, and in-person.
  • Hire, train, and work alongside all Patron Services Representatives providing mentorship in maintaining concierge level customer service.
  • Provide administrative and customer service support to Marketing, Development, and Education initiatives.
  • Represent TheatreWorks at institutional and local community events.
  • Act as primary point of contact for all Patrons Services issues for the organization.
  • Work closely with all other departments as a collaborative team player.
    Lead Patron Services Representatives in all customer service-related matters, filtering patron issues and escalating as necessary.
  • Ensure patron needs are addressed in a timely and professional manner including executing ticket orders, seating requests, printing and distribution of tickets, and subscriber exchanges.
  • Manage monthly Box Office and Front of House shift calendars, ensuring that all shifts are covered while accommodating scheduling requests whenever possible.
  • Disseminate information to Box office and Front of House staff about all promotions and special events occurring at TheatreWorks.
  • Manage the set up and break down of mobile box office, concessions, and lobby at the theatre spaces.
  • Supervise and work evening and weekend Box Office and House Manager shifts as needed at the theatres.
  • Stay up-to-date and informed about all upcoming performances and events. (Marketing promotions, critic reviews, etc.)
  • Reconcile daily transactions and file orders at the end of each shift.
  • Work evening and weekend shifts at TheatreWorks’ partner venues (Mountain View Center for the Performing Arts, Lucie Stern Theatre, Fox Theatre, etc.) as needed.
  • Be a team player with TheatreWorks internal company members and all external venue staff.
  • Report all customer service or ticketing system related issues to appropriate management staff in a timely manner.
  • Attend each show by or on Opening Night (final dress rehearsal is generally open for staff to attend)
  • Attend sales and marketing meetings as required.
  • Other duties as assigned by the Director of Marketing

Qualifications & Competencies:

  • 2-3 years of related customer service experience, with demonstrated project management skills.
  • Proficiency with CRM systems and Microsoft Office Suite with an advanced knowledge of Excel.
  • Experience with Tessitura, a plus.
  • Excellent attention to detail and the ability to problem solve.
  • Ability to work independently and collaboratively in a fast-paced environment, balancing multiple projects and deadlines.
  • Passion for the arts, flexibility, and the ability to remain calm under pressure.
  • Work evenings and weekends, including attendance at events and performances as needed.
  • Must provide documents that establish identity as well as employment authorization in the USA.

Compensation Range: $25 per hour; 40 hours per week.

Patron Services Representative

Position Overview: The Patron Services Representative is responsible for the processing of subscriptions, single tickets sales, exchanges, and providing institutional information while responding to patron needs with upscale-level service.

Responsibilities:

  • Represent TheatreWorks at all times in a professional, thoughtful, and patron-oriented manner.
  • Execute sales and marketing initiatives as assigned.
  • Attend and participate in quarterly Marketing & Development meetings to discuss TheatreWorks income generating campaigns.
  • Work closely with Development team to provide the highest level of hospitality to board members, donors, and VIPs.
  • Answer phones and assist with ticketing needs or questions while handling calls in a quick, efficient, and friendly manner.
  • Process ticket exchanges, general ticket, and subscription orders.
  • Mail tickets, file forms, and patron correspondence.
  • Stay up-to-date and informed about all upcoming performances and events. (Marketing promotions, critic reviews, etc.)
  • Reconcile daily transactions and file orders at the end of each shift.
  • Work evening and weekend shifts at TheatreWorks’ partner venues (Mountain View Center for the Performing Arts, Lucie Stern Theatre, Fox Theatre, etc.) as needed.
  • Check box office and VIP services emails and voicemail daily and process/distribute the messages accordingly.
  • Be a team player with TheatreWorks internal company members and all external venue staff.
  • Report all customer service or ticketing system related issues to appropriate management staff in a timely manner.
  • Attend each show by or on Opening Night (final dress rehearsal is generally open for staff to attend)
  • Other duties as assigned by Patron Services Manager or Director of Marketing.

Qualifications:

  • At least one year of sales or customer service experience, performing arts box office experience is a plus.
  • Excellent customer service skills both over the phone and in person.
  • Must be able to work successfully in a busy, fast-paced environment
  • Excellent written, oral, and interpersonal communication skills.
  • Knowledge of computerized ticketing systems is a plus.
  • Must be willing to work evening and weekend will call shifts.
  • Ideally available 25 to 29 hours per week.
  • Must provide documents that establish identity as well as employment authorization in the USA.

Compensation Range: $20 per hour; Up to 30 hours per week.

Patron Services Representative

TheatreWorks Silicon Valley seeks a collaborative, trustworthy, and enthusiastic
hospitality/customer service professional to serve as Patron Services Representative. Reporting to the Patron Services Manager, the Patron Services Representative is responsible for responding to all TheatreWorks patron needs while providing the highest level of customer service. They will be responsible for the processing of subscriptions, single tickets sales and exchanges, and will be knowledgeable of Theatreworks’ policies and procedures to ensure friendly, efficient, and effective daily Patron Services operations.

We Are Looking for Teaching Artists Who:

  • Possess a respect for students from all backgrounds and ages.
  • Possess a thorough knowledge, understanding, and passion for their art form.
  • Have an understanding and passion for social justice.
